Privacy Policy

Your privacy matters to us. This policy explains exactly what data we collect, how we use it, and how we protect it — written in plain English, not legalese.

1. What Data We Collect

When you sign up, we collect basic account information: your name, email address, and billing details (processed securely through our payment provider — we never store your full card number).

When you use our services, we automatically collect some technical data: your IP address, browser type, pages you visit on our site, and when you visited. This helps us keep things working and spot problems early.

If you contact our support team, we keep records of those conversations so we can provide consistent help.

2. How We Use Your Data

We use your information to provide and improve our hosting services. That's really it. Specifically:

• To set up and manage your hosting account • To send you billing receipts and renewal reminders • To respond to your support requests • To notify you of important service updates or outages • To improve our product based on how people use it

We do NOT sell your data to third parties. We do NOT use your data to show you ads. We don't do anything sneaky.

3. Cookies

Our website uses cookies — small files stored in your browser. Here's what they do:

• Session cookies: Keep you logged in while you browse your dashboard (deleted when you close your browser) • Preference cookies: Remember things like your theme preference (dark/light mode) • Analytics cookies: Help us understand which pages are popular so we can improve the site

You can turn off cookies in your browser settings, but some parts of our service (like staying logged in) won't work without them. We don't use advertising or tracking cookies.

4. Third-Party Services

We use a few trusted partners to run our service:

• 20i (our infrastructure provider): Hosts your actual website files and databases. They handle the physical servers and networking. • Payment processor: Handles your billing securely. We never see your full card details. • Email delivery service: Sends transactional emails like password resets and receipts.

Each of these partners has their own privacy policies and are contractually required to protect your data. We've chosen partners based in or compliant with UK/EU data standards.

5. How Long We Keep Your Data

We keep your account data for as long as your account is active. When you cancel your account, your website files are deleted within 30 days and your personal account data is deleted within 90 days.

We keep billing records for up to 7 years, because tax laws require it. These are stored securely and are only accessed when legally necessary.

Support chat and email history is kept for 2 years so we can provide consistent service if you reach out again.

6. Your Rights (GDPR & Privacy Rights)

You have real control over your data. Here's what you can ask us to do:

• Access: Request a copy of all data we hold about you • Correction: Fix any inaccurate information • Deletion: Ask us to delete your account and all associated data • Portability: Get your data in a machine-readable format • Opt-out: Stop us from using your data for analytics (we'll still need it to run your account)

To exercise any of these rights, email us at privacy@hostingcloudly.com. We'll respond within 30 days. If you're in the EU/UK, you also have the right to complain to your local data protection authority.

7. Questions & Contact

If you have any questions about this privacy policy or how we handle your data, we'd love to hear from you.
